By booking a spot for SoulSong Retreat (May 16-18, 2025), you agree to the following terms and conditions:
Payment & Commitment
A non-refundable deposit of $250 is required to secure your spot at the SoulSong Retreat. By submitting this deposit, you are committing to the full retreat payment. Immediately upon submitting your deposit, please email the retreat leader to confirm whether you will be paying in full or selecting a payment plan. If no email is received, you will automatically be placed on the three-payment plan, and payments will be scheduled accordingly.
For those choosing the Pay in Full option, the remaining balance must be paid within 24 hours of placing the deposit. If payment is not received within this timeframe, the attendee will automatically be placed on the three-payment plan, and payments will be scheduled accordingly.
For those choosing a Payment Plan, all remaining payments will be evenly spaced between the deposit date and the retreat start date. No payments will be collected after the retreat. By selecting a payment plan, you agree to complete all scheduled payments in full, even if you are unable to attend the retreat. If you would like to know your exact payment dates in advance, we are happy to provide them upon request.
If a payment fails, you will have 5 days to update your payment method before your spot is forfeited. Failure to complete payments may result in the loss of your retreat spot without a refund.
Refund & Cancellation Policy
All payments are non-refundable. This retreat has limited spots, and by reserving your space, you are committing to the experience. If you cancel, your payment will not be refunded, but you may transfer your spot to another person if approved by the retreat host. Please notify the retreat leader via email at least two weeks in advance of your intent to transfer your spot. The original payment is non-refundable and will not be refunded by the retreat leader. The new participant must agree to the retreat’s terms and conditions before attending, and any financial transactions (including refunds) must be handled directly between the original attendee and the new participant. If the retreat is canceled by the organizer due to unforeseen circumstances (such as extreme weather, illness, or emergencies), you will receive a full credit toward a future retreat or private coaching services. No cash refunds will be given.
Travel & Weather Disruptions
You are responsible for your own travel arrangements to and from the retreat location. If you are unable to attend due to personal travel disruptions (such as canceled flights, illness, or other personal emergencies), no refund will be issued. If extreme weather or natural disasters make it unsafe to hold the retreat, the retreat will be rescheduled, and your payment will be transferred to the new dates or credited toward future services.
Assumption of Risk & Liability Release
By attending SoulSong Retreat, you acknowledge that you are responsible for your own well-being during all retreat activities, including but not limited to yoga, singing, group discussions, and time in nature. You agree to waive any liability against the retreat organizer for injuries, losses, or damages incurred before, during, or after the retreat. If you have medical conditions, dietary restrictions, or accessibility needs, you must disclose them at the time of booking so reasonable accommodations can be made.
Food Provisions & Dietary Restrictions
The retreat will provide healthy, balanced meals throughout the event. Dietary restrictions and allergies must be disclosed upon booking. A follow-up questionnaire will be sent to confirm details. While reasonable efforts will be made to accommodate dietary needs, we cannot guarantee all requests can be met. Attendees with severe allergies are responsible for bringing necessary medications (e.g., EpiPens) and informing the organizer of any emergency measures.
Photography & Media Consent
By attending the retreat, you consent to being photographed and/or recorded during retreat activities. These photographs and recordings may be used for marketing, promotional materials, or other publications related to the retreat organizer’s business. If you do not wish to be photographed or recorded, you must inform the organizer in writing prior to the retreat start date.
Code of Conduct
This is a safe, supportive, and respectful space for all attendees. Any behavior that is disruptive, harmful, or disrespectful to the group or property may result in removal from the retreat without refund. Attendees are responsible for any damage to the property and may be required to cover costs for repairs if damages occur.
Alcohol, Drugs, & Tobacco Policy
This is a completely alcohol, tobacco, and drug-free environment. Attendees are not permitted to bring alcohol, drugs, tobacco, vapes, or any other substances onto the retreat property, either inside or outside. Any attendee found in violation of this policy will be excused from the retreat with no refund. Additionally, if an attendee is caught smoking, they will be responsible for a $500+ smoke remediation fee, per the retreat center’s discretion. The retreat organizer will bill this charge directly to the credit card on file.
Property Rules
As this retreat is being held at a private rental property, all attendees must follow the house rules set by the host.
• No Smoking Policy: No smoking of any kind inside the home. Any evidence of smoking indoors will result in a $500 smoke remediation fee. If you smoke outside, please dispose of cigarette butts properly. A $50 cleaning fee may apply if cigarette butts are left on the property.
• General House Rules: Do not throw rocks into the water. These are placed to prevent erosion. No more than 10 guests are allowed on the property at any time unless agreed upon in advance. Be respectful of noise levels and neighbors.
• Hot Tub Rules: Always unlatch all four safety locks before removing the cover. No food or glass is allowed in the hot tub. Excessive cleaning required due to misuse may result in an additional cleaning fee.
• Grill Usage: The grill is available for use but must be cleaned after use.
• Parking Rules: Do not park on the road. Additional parking is available inside the gate and in the grass beyond the driveway.
• Home & Safety Considerations: Ensure the front door is fully closed before locking. Do not point the shower head directly at the door.
Use of Retreat Property & Damages
The retreat property is for scheduled retreat activities only. Please inform the retreat leader if you need to leave the property for any reason during the retreat. The hot tub and fire pit are available for use, but please consult with the retreat leader before using these areas to ensure proper supervision and care.
Any damages to the retreat property caused by an attendee will be the financial responsibility of the attendee. By consenting to these terms, attendees agree to have any charges for damages billed directly to the credit card on file.
Chargebacks & Payment Issues
By attempting a chargeback through your financial institution, you are expressly agreeing to pay the full cost of your original purchase, plus any fees or associated costs incurred by the organizer. We reserve the right to present these Terms to your financial institution, payment processor, or investigating agency in connection with the attempted chargeback or financial dispute. If a chargeback is initiated, we may also suspend or cancel your participation in the retreat.
Agreement
By submitting payment, you acknowledge that you have read, understand, and agree to these terms and conditions. You also understand that all sales are final, and no refunds will be issued.
Intellectual Property
The Company retains all rights, titles, and interests in and to the Products, including retreat materials such as worksheets, guides, and any other educational or training content (“Materials”). Nothing in these Terms transfers any intellectual property rights to you beyond the limited license described in the Terms of Purchase. You are granted permission to use the Materials solely for personal, non-commercial purposes related to the Retreat. This permission does not grant you the right to alter, reproduce, or distribute the Materials for any other purpose. All rights not expressly granted to you are reserved by the Company.
Consent to Use
By submitting reviews, images, comments, testimonials, or tags (collectively “Submissions”) to the Company via any platform, including social media and online reviews, you grant the Company a commercial license to use your Submissions for future business purposes. The Company may use your name, image, and publicly acknowledged information associated with your Submissions across our Website, marketing materials, guides, and other promotional platforms.
Non-Compete
For a period of three years following your participation in the Retreat or purchase of Products related to the Retreat, you agree not to provide services, engage in business, or represent yourself or your business as a Vocal Coach, Singing Coach, Singing Teacher, Vocal Empowerment Coach, Spiritual Healer, or Spiritual Teacher in a manner that competes with the offerings provided by Mindful Singing. This restriction applies to any services or products that are similar to those you purchased or experienced at the Retreat. This includes offering similar products within the United States and its territories without prior written consent from the Company.
Age Limitations
By submitting payment or otherwise enrolling in the Retreat, you confirm that you meet the legal age requirements in your jurisdiction to use the Website, purchase Products, and participate in the Retreat.
Changing Terms
Mindful Singing reserves the right to update or revise these Terms at any time without prior notice. By continuing to participate in the Retreat or use the Products and services, you agree to accept any changes made to these Terms.
Privacy + Protection of Personal Information
We respect your privacy and are committed to safeguarding it. We may collect certain information from you to operate the Retreat and provide you with our Products and services. Please review our Privacy Policy to understand how your data is collected, used, and protected.
Error in Store Presentation
While we strive to present accurate and up-to-date information on the Website, there may be errors or outdated content. We reserve the right to change Product prices, specifications, availability, or any aspect of the Website at any time, including making adjustments to the Retreat schedule and offerings.
Termination of Use
We may terminate or restrict your participation in the Retreat or use of the Website at any time for any reason, including failure to adhere to these Terms. You are responsible for any purchases or charges you incur prior to such termination. The Company may also discontinue or suspend the Website and associated services at its discretion without notice.
Limitation of Liability
Mindful Singing is not liable for any damages arising from participation in the Retreat, including but not limited to punitive or exemplary damages, regardless of the legal theory upon which the claim is based. This limitation of liability does not affect any rights or remedies you may have that cannot be excluded under applicable law.
Maximum Damages
The Company’s maximum liability and your sole remedy for any claims related to the Retreat shall be limited to the total amount paid for the specific Products or services purchased through the Website or the Retreat.
Binding Arbitration
If a dispute arises between you and the Company that cannot be resolved amicably, both parties agree to resolve the dispute through binding arbitration. The arbitration will follow the rules of the American Arbitration Association and will take place in Davidson County, Nashville, Tennessee, unless the Company elects a different venue. The parties will share the costs of the arbitration equally.
Choice of Law
These Terms are governed by the laws of the State of Tennessee. If any provision of these Terms is found to be in conflict with the laws of your jurisdiction, Tennessee law will control.
Notices
Any notices to you from the Company may be sent via email or posted on the Website. Notices sent by email are effective immediately, and those posted on the Website are effective upon posting. You may contact the Company at gracie@mindfulsingingstudio.com.
Severability + No Waiver
If any provision of these Terms is deemed invalid or unenforceable by a court, all other provisions will remain in effect. The failure to enforce any provision does not constitute a waiver of that provision.
Transfer + Assignment
You may not transfer or assign any rights under these Terms to a third party without prior written consent from the Company.
Force Majeure
Mindful Singing will not be liable for failure to perform obligations due to circumstances beyond its reasonable control, including natural disasters, cyberattacks, terrorism, labor disputes, or other events beyond its control.
